Invoices & Payments
Wootzoo handles invoicing for your nursery or setting fees. You'll receive invoices by email and can pay online directly through the app.
Viewing Your Invoices
Go to Invoices from the main menu. You'll see:
- Outstanding: invoices awaiting payment, with due dates
- Paid: your payment history
Each invoice shows the amount, due date, and a breakdown of line items (sessions, charges, discounts).
Paying Online
If your setting has online payments enabled, an invoice will show a Pay Now button. Click it and enter your card details. Payment is processed securely via Stripe and the invoice is marked as paid immediately.
Paying by Other Methods
Your setting may also accept payment by bank transfer, cash, childcare vouchers or Tax-Free Childcare. Use the bank details shown at the bottom of the invoice, or contact your nursery directly. Once they record the payment on their side, the invoice status updates in your account.
Tax-Free Childcare & Vouchers
If you pay using Tax-Free Childcare (TFC) or childcare vouchers, make the payment through your TFC/voucher portal using your nursery's details. Let your nursery know you've paid and they'll record it in Wootzoo with the correct payment method.
Payment Reminders
If an invoice is overdue, you'll receive email reminders from your nursery. If you think a reminder was sent in error, contact your nursery directly - they can verify the payment has been recorded correctly.
CCOW / Funded Childcare
If your child is eligible for funded childcare (Childcare Offer for Wales or 30-hour free entitlement), your invoice may show a funded hours deduction, clearly labelled so you can see exactly what you owe after the funding is applied.
