Messaging

Providers

Wootzoo includes a built-in messaging system so providers and staff can communicate with parents directly within the platform, without using personal email or WhatsApp.

Sending a Message

Go to Messages from the main menu. Select a parent from your list and type your message. Messages are delivered in real time and the parent is notified by push notification (if they have the app installed) and email.

Group Messages

Send a message to all parents registered at your setting, or filter by group (e.g. all parents of children in a specific room/slot).

Timeline Posts

Anything you post to the timeline lands on the parent's home screen - the first thing they see when they open the app. There are three ways to post, and the one you choose decides who sees it.

If a post includes a URL, Wootzoo automatically converts it to a clickable link.

Who Sees Your Post

Important: Tagging is what makes a post private. If you tag no children in Post & Tag, the post goes to every parent at your setting. Check this before uploading photos of individual children.

Newsletters

Newsletters work differently to timeline posts. They publish to your setting's public page (wootzoo.com/your-name) under the Newsletter tab, where parents can read them whether or not they are logged in.

They do not appear in the app feed and they do not send a notification. If something is time-sensitive, post it to your timeline as well.

To create one, go to wootzoo.com/provider/blog/new. You only need a title and a slug to publish - everything else is optional, and you can upload a PDF instead of writing content.

Notifications to Parents

In addition to messages, Wootzoo automatically notifies parents when:

Configure which notifications are sent under Settings → Notifications.
