Childcare Offer for Wales (CCOW)

Childcare Offer for Wales (CCOW) is Welsh Government funding for a child's eligible hours, deducted from what you invoice the parent. It's only relevant if you charge by the hour.

Turning It On

Go to Settings → Invoicing and find the Childcare Offer for Wales card. This card won't do anything for you unless you have an Hourly Rate set.

Setting Up a Child

There are two separate steps, and both are needed before any money is deducted from a child's invoices:

Common mistake: ticking CCOW on the contract without setting the child's hours. The badge will show and the contract will look correct, but invoices will still bill full price with no warning. If an invoice isn't deducting as expected, always check the child's hours are set first.

How the Deduction Works

By default (checkbox off): funded hours are priced at the CCOW rate, and any remaining unfunded time is billed at your hourly rate.

With the checkbox on: a session keeps its own listed price, and the funded hours are deducted directly from that price (capped, never negative, and never carried over to a dearer session the same day).

Only turn this on if you'd rather see a session price reduced on the invoice than an hourly recalculation. You don't have to use it.

Setting Hours From the Contract

You no longer need to go to the child's profile to set their CCOW hours. On the contract, click the CCOW hours to open a small pop-up and set them there.

If CCOW is ticked on a contract but the child has no hours set, you'll see a warning on the contract and on the invoicing page, so you don't send a full-price invoice without noticing.
