Observations & Assessments
Wootzoo's observations module lets staff record developmental observations, attach photos and link them to curriculum pathways. Providers and managers can review, approve and share observations with parents.
Recording an Observation
- Go to Children → [Child Name] → Observations or use the quick-add from the day-to-day view.
- Write the observation text and attach photos if relevant.
- Select the curriculum pathway(s) the observation relates to (multi-select supported).
- Add a child's comment if appropriate.
- Submit - the observation enters pending approval status.
Approving Observations
Managers receive an email notification when staff submit observations. Go to Observations → Pending to review and approve. Once approved, the observation becomes visible to parents (if sharing is enabled) and is included in reports.
Sharing with Parents
Toggle the Share with parent switch on any approved observation to make it visible in the parent's app. Parents receive a notification when a new observation is shared.
Stori Reports
Stori compiles a child's observations into a single narrative report. It pulls in text from all observations (or just parent-shared ones - your choice) plus photos from posts and tags. Generate a Stori report from the child's profile under Reports → Stori.
Assessments
The initial assessment captures a baseline of the child's development when they start at your setting. It can be shared with parents via a shareable link.
Additional assessment types (e.g. final reports) are available and can pull in observation notes and photos from the child's history.
Cross-Curriculum Observations
Observations can be linked to multiple curriculum pathways simultaneously. An "Additional Child's Comments" text box is also available for recording what the child said or did in their own words.
