Sessions & Booking Slots
Booking slots are the building blocks of your register. Each slot defines a session window (e.g. Morning 08:00–13:00) that children can be booked into. They drive the SerenPass register, ad-hoc session booking, and the council attendance export.
Creating a Slot
Go to Scheduler → Manage Slots and click Add Slot. Fill in:
- Title: the name shown on the register (e.g. "Morning Session", "After School")
- Start time / End time
- Default fee: used to pre-fill the fee when creating ad-hoc sessions
- Session type: see below
- School group: for after-school settings; groups children on the register by school
- Colour code: optional visual indicator on the scheduler
- Flying Start: mark if this slot is a Flying Start session
Session Types
Assigning a session type lets you filter and report on sessions separately. The available types are:
- Term time: standard term-time session
- Holiday club: holiday period sessions (e.g. summer club)
- Trip / Event: one-off trips or special events
- 30-hour funded: sessions funded under the Childcare Offer for Wales (CCOW) or 30-hour free entitlement
The session type badge is shown on the register header and on the council attendance export.
Editing & Deleting Slots
Click any slot name in the Manage Slots list to open its edit modal. You can update all fields and save. To delete a slot, use the Delete button in the same modal.
Scheduling Children into Slots
The Scheduler lets you drag children onto slots on a weekly schedule. This drives the "scheduled" list on SerenPass for each day. Children not assigned to a slot can still be signed in via the All Children section.
School Groups
For after-school clubs, set the school group on each slot. When a child has their school recorded (via Q&A form), they are grouped under that school heading on the register, making it easy to manage collection ratios.
