Accident & Incident Analysis
The analysis counts your accident and incident reports by cause, area, group, day and time, and child. It helps you show a CIW inspector where, why and to whom accidents happen, and what you have done about it.
Setting Up Areas and Groups
Do this once for each setting. Staff pick from these lists when they log an accident, so the counts stay tidy ("Garden" and "garden" are never counted as two different places).
- Click the setting's name in the left menu.
- Click Settings along the row at the top of the page.
- Click the Preferences tab.
- Find the Accident and incident areas and groups card.
- Other areas: type one place per line, for example Garden, Corridor or Off-site. Your rooms from Locations are included automatically, so don't add them again.
- Groups: type one group per line, for example Tiny Tots or Rangers. Leave it empty if you don't need groups, and staff won't be asked.
- Click Save changes.
You can copy and paste a list, one item per line. Extra spaces and blank lines are ignored.
If you have no rooms under Locations and "Other areas" is empty, staff type any location themselves, and a place spelt differently will be counted as a separate area.
Logging a Report
Every accident and incident form has these questions:
- Cause: Child-on-child hurting, Child-on-child biting, Environmental hazard, Unavoidable accident or Other (if the cause isn't known yet, edit the report later). This is required.
- Area: where it happened. It picks from your rooms and other places.
- Group: only if you have set up groups.
To add a cause to an older report, open it, pick the cause, and save.
Reading the Analysis
Click CIW Tools in the left menu, then Accident Analysis or Incident Analysis. It opens on the last 3 months. Use the date boxes and Apply to change the range, and Print to print it for an inspector.
- By group: how many reports in each group. Only shown if you have set up groups.
- By cause: why it happened, with percentages.
- By area: where it happened. Places that differ only in capital letters are combined.
- By day and time of day: AM is before 11:30, Lunch is 11:30 to 13:30, PM is after 13:30. It uses when the accident happened, not when it was written up.
- By child: children with the most reports first, with their causes and areas, so repeat patterns stand out.
Reports saved before this feature was added show "Not recorded" for cause until someone edits them.
