SerenPass: Sign In/Out Register
SerenPass is Wootzoo's digital register. It shows today's sessions, lets staff sign children in and out in one tap, surfaces medical/dietary info, and tracks arrivals in real time.
Opening SerenPass
Navigate to SerenPass from the main menu. The board shows:
- Today's session slots, grouped by time (e.g. 08:00–13:00, 13:00–18:00)
- Children scheduled for each slot, with their current sign-in status
- A live feed of recent sign-in/sign-out activity
- Summary counts: children in, children out, staff in, ratio status
Signing a Child In or Out
Tap the Sign In or Sign Out button next to any child's name. The status updates immediately and the live feed logs the event.
Session Groups
Children are automatically grouped under the session slot they are booked into. If a child has an ad-hoc session added for today, they appear under that slot too. The All Children section at the bottom lets you sign in any registered child regardless of whether they have a scheduled slot.
Medical & Dietary Info
If Q&A answers (e.g. allergies, dietary requirements) are marked to "show on register", they appear as small pill badges next to the child's name. Hover over a badge to see the full answer.
School Pickups & Collection Groups
For after-school settings, children can be grouped by their school on SerenPass. This helps staff manage ratios when collecting children from different schools at the same time.
How to set up collection groups:
- Go to Groups from the main menu.
- Click Create Group and give it the school name (e.g. "St David's Primary").
- Tick the Use for SerenPass Collections checkbox — this marks it as a school pickup group.
- Add the relevant children to the group.
Once collection groups are set up, SerenPass displays them in a separate Collections section below the session slots. Only children who are currently signed in appear under their school group, so staff can see at a glance exactly who needs collecting from which school.
Ad-hoc Sessions
To add a child to today's register on the fly, click Add Ad-hoc Session. Select the child, session slot and date, confirm the fee, and optionally attach it to an existing invoice. The child immediately appears in the correct slot on the register. See the Ad-hoc Sessions guide.
Sibling Discount Badge
If a sibling discount was applied when booking an ad-hoc session, a pink Sibling -£X.XX badge appears next to the child's name on the register, so staff can see the discount at a glance. See Discounts.
Staff Ratio Indicator
The top bar shows a green or red ratio status based on the number of children signed in vs staff currently present. Configure the required ratio under Settings → Staff Ratio.
Kiosk Mode
SerenPass can be locked into kiosk mode for a tablet at the door - parents sign their children in by scanning a QR code or tapping from a list. Set up kiosk tokens under Settings → Kiosk.
Each kiosk token generates a unique link (e.g. /your-setting/sign-in/xxxx) that you open on the tablet at the door. That link is locked to the first device that opens it - once a tablet has used it, no other device can use the same link, even if someone copies or accidentally shares it. A second device will see "device not authorized" immediately when the page loads, before it can even attempt a scan.
Under Settings → Kiosk you can:
- Disable a token - temporarily blocks that kiosk without deleting the link.
- Reset device - unbinds the current device, so the next tablet to open that link gets bound to it (use this when replacing or resetting a tablet).
- Delete a token - permanently removes the link.
Absence Reporting
If a parent has reported their child absent for today, an absence badge appears on the child's row. You can view absence details from the register or the child's profile.
